Office Operation Coordinator
Supporting business operations, finance and office management

As our business continues to grow in Finland, we are looking for an experienced and proactive Office Operations Coordinator to join our team in Vantaa. In this role, you will be a key support to our Managing Director and work closely with colleagues across Finance, Sales, Customer Service and Project Management. You will coordinate a broad range of operational and administrative activities that help ensure our business runs smoothly every day. This position offers a high degree of independence and responsibility. It is well suited to someone who enjoys creating structure, improving processes and supporting a growing business in a practical and hands-on way.
Your responsibilities
As our Office Operations Coordinator, you will work across several areas of the business.
Finance & Business Administration
Manage supplier and customer invoicing.
Process supplier invoices through ExFlow and maintain accurate records in Microsoft Dynamics.
Prepare customer invoices in collaboration with Project Managers and Customer Service.
Handle delivery notes, invoice transfers and ERP administration.
Prepare documentation related to banking, compliance and Health & Safety requirements.
Support financial processes together with the Nordic Finance team.
Sales & Commercial Support
Support the Sales team with proposals, presentations and administrative documentation.
Maintain accurate customer and sales information in the CRM system.
Coordinate administrative activities that support customer projects and commercial processes.
Office & Operations
Coordinate office administration and supplier agreements.
Manage administration related to company vehicles, mobile phones, insurance and other operational services.
Organise meetings, travel arrangements, catering and other practical office activities.
Continuously identify opportunities to improve administrative routines and ways of working.
About you
You are an organised and dependable professional who enjoys taking ownership and making things happen. You have a structured way of working, pay attention to detail and are comfortable managing several priorities at the same time. You enjoy supporting colleagues, building efficient processes and working in a role where every day is a little different.
To succeed in this role, you likely have:
A bachelor’s degree in business administration or a related field, or equivalent professional experience.
At least five years of experience in administration, operations, office management, finance support or a similar position.
Experience working with ERP systems; Microsoft Dynamics and ExFlow are considered an advantage.
Good understanding of invoicing and administrative business processes.
Strong organisational and planning skills.
The ability to work independently while collaborating effectively with different stakeholders.
Professional proficiency in Finnish and English, both written and spoken.
