Operations & Administrative Coordinator

As an Operations & Administrative Coordinator, you will combine office operations, executive assistance, and commercial and accounting support, working closely with finance, sales, project teams, and external partners. This is a hands-on role with broad responsibility and real impact - ideal for someone who enjoys variety, takes ownership, and wants to contribute to both operational excellence and business growth. As the company continues to grow, you’ll be a key support function, helping ensure accuracy, efficiency, and strong collaboration across the organization.

Responsibilities:
Office & Operational Administration
Oversee office-related administration, including contracts for offices, company cars, mobile phones, health insurance, and other operational services.
Coordinate practical arrangements such as catering and other logistical needs as required.
Take ownership of a wide range of administrative and operational tasks, ensuring efficiency and continuous improvement.
Provide executive and administrative support to management.
Business & Commercial Support
Support the sales function by organizing sales events and managing the contacts with stakeholders.
Build and maintain strong, collaborative relationships with clients, suppliers and colleagues at all levels, both internally and externally.
Accounting & Finance Support
Manage daily financial administration, including supplier and customer invoicing, delivery notes, and transfers in the ERP system (Dynamics).
Handle supplier invoices through ExFlow and prepare customer invoices in collaboration with project managers and customer service teams, including recurring revenue invoicing.
Support financial processes and compliance by maintaining accurate documentation and working closely with the finance team.
Desired skills and experience:
Bachelor’s degree in business administration or similar discipline; relevant working experience may substitute for formal education.
Minimum of 3 years’ professional experience in an administrative or business operational position.
Strong organizational, prioritization, and time management skills.
Ability to work independently with minimal supervision and manage a broad scope of responsibilities.
Comfortable using Excel and other relevant systems.
Proactive mindset with the ability to take initiative and anticipate needs.
Positive, flexible attitude and willingness to engage in a variety of tasks and projects.
Professional proficiency in both Italian and English, written and spoken.

Form of contract: Permanent employment
Salary range: €40.000 - 45.000 RAL (based on experience and skills). An additional bonus scheme on top completes the compensation package.
